Third-party inspection in India: what it means and how to choose a company

A third-party inspection is a check by a company that is neither the seller nor the buyer, appointed by the buyer to verify goods before payment or shipment. What makes it worth paying for is independence: the inspector should earn the same whether your lot passes or fails, and have no tie to the factory.

Ten questions to ask any inspection company

Ask every firm on your shortlist the same questions. Our own answers are in the last column, so you can hold us to them.

#QuestionWhy it mattersQualis's answer
01 Can the result change what the inspector earns? If a failed lot costs the inspector money, or a passed lot earns a commission, the report is not independent. The fee is fixed at booking and is the same whether the lot passes or fails.
02 Is the firm accredited to ISO/IEC 17020? ISO/IEC 17020 sets competence and impartiality requirements for inspection bodies. In India, NABCB accredits inspection bodies to it. In progress, not yet held. If accreditation is a hard requirement today, use a firm that holds it.
03 Does it inspect your product, every day? A generalist inspector checks furniture against a generic list; a specialist knows the moisture, joinery and finish failures. Furniture only.
04 Where are the inspectors, and how fast can they reach the factory? Distance decides cost, how soon rework can be re-checked, and whether a visit can be unannounced. Same day in Jodhpur and Jaipur, 24 hours in Delhi NCR, 48 to 72 hours in Saharanpur, Moradabad and Kolkata.
05 Which sampling standard does it use? A sample drawn to a published standard lets you check the maths yourself. AQL sampling per ISO 2859-1; AQL 2.5 major, 4.0 minor at General Level II unless your contract says otherwise.
06 Can you see a sample report before you book? The report is the product. Its photos, measurements and decision page are what you pay for. Yes: sample reports, including rejected lots, are available on request.
07 Are the prices published? A published flat fee is a quote you can compare; man-day pricing grows with the days on site. Yes. Pre-shipment inspection $249, supplier verification $299, factory audit $449, loading supervision $249.
08 What does a re-inspection cost after a failure? Rework is common. The re-check price and speed decide whether failing a lot is affordable. $149 per visit; the failed points are re-checked in full, within 48 hours in Jodhpur or Jaipur.
09 Who sees the report? A report shared with the factory first can be argued down before you see it. Only you. The factory sees defect details only if you instruct it.
10 Who signs the report? A named inspector is accountable for what the report says; a company stamp is not. The inspector who stood in the factory is named on the report.

Check any firm's ISO/IEC 17020 accreditation on the accreditation body's own site. In India that is NABCB.

Third-party inspection questions

What is a third-party inspection?

An inspection by a company that is neither the seller nor the buyer: the factory is the first party, the buyer the second, and an independent inspection company the third. The buyer appoints it to check the goods against the order before payment or shipment.

Is a sourcing agent a third-party inspector?

Usually not. A sourcing agent that earns commission from the factories it introduces has a stake in the order shipping. A third-party inspector should earn the same whether the lot passes or fails, and have no commercial tie to the factory.

How much does third-party inspection cost in India?

Firms price either per man-day, with travel added or built into the rate, or per inspection at a flat fee. Qualis publishes flat fees: a pre-shipment inspection is $249, supplier verification $299, a factory audit $449 and container loading supervision $249.

How do I check whether an inspection company in India is accredited?

Ask which accreditation body issued its ISO/IEC 17020 accreditation, for which scope, and check it on that body's website. In India, NABCB accredits inspection bodies to ISO/IEC 17020. Qualis's accreditation is in progress, and it says so.

Which inspection company is best for furniture from India?

The one that answers the ten questions on this page well for your order: independent fees, the right accreditation for your programme, furniture capability, inspectors near your factory, a published sampling standard, a real sample report and published prices. A global firm suits multi-country programmes and accredited lab testing; a furniture specialist in the cluster suits on-site depth and speed.
